1. Overview

In plain language

Arkives.io is built so your message archive stays yours. We store your data only to run the service for you, we never sell it, and you can delete everything at any time.

Arkives.io ("Arkives", "we", "us", or "our") operates the ArkiveSearch application, a private tool for importing, searching, organizing, and exporting records of your text message conversations.

This Privacy Policy explains what information we collect when you use Arkives, how we use and share it, the choices you have, and how we protect it. It applies whenever you access or use the app, including before you create an account.

We designed this Policy around a simple principle: we only ever have the message data you deliberately import, and we use it only to provide the features you ask for.

2. Information We Collect

We collect your account details, the messages you choose to import, any attachments you add, and your optional base phone number. We only ever have what you give us.

We collect the following categories of information:

  • Account information. Your email address, password, display name, and app role. This is managed by our hosting platform's authentication service.
  • Message content you import. The contact name, phone number, participants, notes, message text, and dates and times of any conversation you import. You choose what to import, and nothing is imported without your action.
  • Attachments. Images or documents you attach to a message, together with the details our AI extraction feature derives from them (see Section 4).
  • Base phone number. If you provide one, we use it solely to identify which imported messages were sent by you and display them as “Me”.
  • Transaction information. Records of your subscription purchases and status (amount, currency, dates, subscription ID). Your card details are handled exclusively by our payment processor and are never seen or stored by us.
  • Usage information. Basic log and diagnostic data (such as IP address and device information) collected by our hosting platform to operate, secure, and troubleshoot the service.

3. How We Use Your Information

We use your data to run Arkives for you — searching, extracting attachment details, and building the reports you request. We do not sell it, rent it, or use it for advertising.

We use the information we collect to:

  • Provide, operate, and maintain the service — storing your archive, indexing it for keyword search, and organizing it into threads and collections.
  • Extract searchable details from attachments you upload, using our AI processing feature, when you request it.
  • Generate and deliver the reports you request, as PDF documents or by email to an address you enter.
  • Process your subscription, including checkout, renewal, cancellation, and receipts, through our payment provider.
  • Communicate with you about your account, security, subscription, and changes to our policies or the service.
  • Detect, prevent, and address abuse, fraud, and security issues.
  • Comply with our legal obligations.

4. AI Attachment Extraction

When you attach an image or document, AI summarizes its contents so they become searchable. The results live in your archive and are deleted when you delete the message.

Arkives includes an optional feature that analyzes images and documents you attach to your messages and extracts their details (for example, the text visible in a screenshot) so that the attachment's contents become searchable alongside your messages.

This analysis is performed by AI processing providers solely to complete your extraction request. The extracted details are stored as part of your archive, visible only to you.

We do not use your attachments or message content to train third-party models beyond what is required to process your specific request. If you delete the message, its attachment details are deleted with it.

5. Reports and Email Delivery

Reports are generated only when you ask. Emailed reports use secure, time-limited links, and we only send them to the address you enter.

When you request a report, we generate a PDF from the messages or search results you selected. Report files are stored in private storage, and emailed reports are delivered through a secure link that expires after a limited period.

Reports are sent only to the email address you enter at the time of the request. Reports may contain the full content of your messages, so please share them carefully — once you forward a report, its contents are outside our control.

6. How We Share Information

We share data only with the service providers Arkives needs to function, when the law requires it, or to protect safety. We never sell your personal information.

We share your information only in these circumstances:

  • Service providers. We rely on trusted providers to run the app: our hosting and infrastructure platform, our payment processor (Base44 Payments), our email delivery provider, and our AI processing providers. Each receives only the information needed to perform its function.
  • Legal requirements. We may disclose information if required to comply with a subpoena, court order, or other legal process, or if we believe in good faith that disclosure is necessary to comply with the law.
  • Safety. We may disclose information to protect the rights, property, or safety of Arkives, our users, or the public.
  • Business transfers. If Arkives is involved in a merger, acquisition, or sale of assets, we will notify you before your information is transferred and becomes subject to a different policy.

7. Data Security

Your data is isolated to your account, transmissions are encrypted, and report files use private storage. No system is perfect, but we treat your archive as confidential.

We protect your information using technical and organizational measures appropriate to its sensitivity, including encryption of data in transit, account-level access isolation so that no user can access another user's records, and private storage with time-limited access links for report files.

No method of transmission or storage is completely secure. We cannot guarantee absolute security, but we work to protect your information and will notify affected users if a breach occurs where we are legally required to do so. If you suspect unauthorized access to your account, contact us immediately.

8. Data Retention and Account Deletion

We keep your data while your account is active. You can delete individual threads, messages, and attachments anytime, or delete your whole account — which permanently erases your archive.

We retain your information for as long as your account is active or as needed to provide the service, comply with law, resolve disputes, and enforce our agreements.

You can delete individual conversations, messages, collections, and attachments at any time from within the app. Deleting your account permanently deletes your archive, including your imported conversations, messages, attachments, and saved collections.

We may retain certain records (such as transaction records) where we are required to by tax, accounting, or other law. Deletion requests are completed within a reasonable period, typically within 30 days.

9. Your Rights and Choices

You control your data: access it, export it, correct it, or delete it — either directly in the app or by contacting us.

You have the following rights over your information:

  • Access and export. You can view your data in the app and export it as a PDF report at any time.
  • Correction. You can edit your threads, notes, and account details, or contact us to correct anything else.
  • Deletion. You can delete any record or your entire account at any time, as described in Section 8.
  • Withdrawal of consent. You can stop using Arkives and delete your account at any time.
  • Non-discrimination. We will not discriminate against you for exercising any privacy right.

Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act or the EU/UK General Data Protection Regulation — including the right to know what we hold, to portability, to object to or restrict processing, and to lodge a complaint with your local supervisory authority. To exercise any right, use the app's built-in tools or contact us using Section 12.

10. Children's Privacy

Arkives is for adults. It is not directed at children, and children may not create accounts.

Arkives is intended for users who are at least 18 years old, and it is not directed at children under 13 or anyone else under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

11. Changes to This Policy

If we change this Policy in a meaningful way, we'll tell you before the change takes effect.

We may update this Privacy Policy from time to time. If we make a material change, we will notify you through the app or by email before the new effective date. Your continued use of Arkives after the effective date means you accept the updated Policy. We will keep prior versions available on request.
